Training Administration Help

Reports

There are several reports that help with managing and administering training. Report availability depends on your permission level:

Training Activity and Reminders

This is the report you will use most often and it is a key tool for effective training management. The report gives you a listing of learners and their assigned courses that you can refine by date, status, training group and so on to see the information you are specifically looking for. Here you can also send out reminders to your learners to encourage them to complete their training or to congratulate them on training they have completed.

To get started, select Reports and Reminders –> Training Activity and Reminders. This report is available to Supervisors, Training Group Administrators and Corporate Administrators. Because Supervisors cannot send out System Emails, their functionality with this report is limited.

There are lots of options for reports depending on the purpose of your report (1).  All of the options will produce a report, but only the options based on the Target Completion Date will allow you to send System Emails. Next, select a date range for the specific criteria you have selected (3) and then indicate if you only want to see data for a specific course (4). Finally, hit the Run Report button.

If you do want to send reminder emails and you have selected one of the criteria based on the Target Completion Date of Training, then you will also need to select an email from the drop down at the bottom of the page.

See the help on System Emails for more info on how they work.

Fine Tuning Reports

Once the report has been generated, you can tailor it to meet your needs by using the filters. The report can get pretty wide, so if you are not seeing all of the columns you expect, remember to scroll to the right using the scroll bars at the top and bottom of the report.

You can also add other columns to the report. Click on the additional controls and then select the columns you wish to add.  You will also find several ways to export the report either for record keeping purposes or for further analysis in a spreadsheet program.

Learner Progress Report

If you would like more detail about a specific Learner’s progress, you can get that through the Learner Progress Report. While it is likely you will rarely use this report, when you do, it will provide you with a level of detail you cannot get from other reports.  For example, if a course has two or more units, you may want to know a specific user’s test score for each unit. This report lets you drill down to that level of detail. This report is especially helpful to supervisors who need to work closely with employees as they work through their training.

To access the Learner Progress Report go to Reports and Reminders –> Learner Progress Report.

Select one or more employees from the listing and hit the Submit button.

Here you will see all of the learners you selected in the previous screen along with a listing of their assigned courses.  You can generate a Printer-Friendly version of this report (1) or you can look further into the details of the specific courses for a specific learner by selecting View Detailed Records (2).

View Detailed Records will show you a listing of the courses that you can print out (1) or select (2) to see specific module-by-module details of the learner’s progress in any of the courses you choose.

Training Group Info Report

This report will provide important information about the training groups assigned to you including the number of credits each has used.

To access this report go to Subscription/Account Info –> Training Group Info.  This option is available to Training Group Administrators and Corporate Administrators.

Subscription Info Report

This report will provide info about your subscriptions and the total credits your company has used. It is only available to Corporate Administrators (Small Subscriptions do not have a Corporate Administrator so use the info in the Training Group Info Report to monitor credit usage).

To access this report go to Subscription/Account Info –> Subscription Info. This option is available to Corporate Administrators.
