Quarterly Database Maintenance

Each quarter we perform maintenance to keep our database clean and up-to-date. Part of that maintenance is purging learners who are no longer using the training. There are two steps to our maintenance routine:

  1. Remove courses that haven’t been accessed in the past 24 months. This includes assigned courses that have not been started in the past 24 months.
  2. Remove learners who don’t have any courses assigned (Supervisors, Training Group and Corporate Admins without courses do not get removed).


Many of our customers have been with us for 15 years or more. Some of their learners who took our Basic SPC course in the early 2000s still have access to the course because they access the course at least once a year as refresher training. Other employees have long since left the company and no longer need to be in the system.

Preventing Courses and Learners from Being Removed

Our periodic maintenance allows learners at companies with active Subscriptions to have continued access to training by simply accessing the training at least once a year while enabling us to purge learners who are no longer using the training.
To keep access to a course, just one module of the course needs to be launched so that the Last Accessed Date is within the past 13 months from the upcoming maintenance date.

  • January 1
  • April 1
  • July 1
  • October 1

Our target date for maintenance is the first of each calendar quarter. However, we perform maintenance on weekends or US holidays when QualityTrainingPortal usage tends to be lower than during the business week. The actual date for maintenance may be within the first week of the new quarter, but never before the above dates.
